otters

Your brief.
Your information.

Who operates Otters

Oskar Spence and Renee Fraser-Shepherd operate Otters together personally, trading as Otters. You can contact either cofounder at oskar@ottersagency.com or renee@ottersagency.com.

What we collect and why

We collect your sign-in email, brief answers, links and files, submission versions, and technical records needed to secure the service. We use these to verify access, save your work, respond to enquiries and review the creative work you request. Do not include passwords, payment information or unnecessary sensitive personal information.

When you personally request work, we process information needed to take steps towards a contract. For enquiries on behalf of an organisation and proportionate service administration/security, we rely on our legitimate interests in responding and operating the service. Brief-use terms are separate from marketing consent. We do not subscribe you to marketing emails through this form.

The separate Meta onboarding form also collects business goals, proposed budgets, account identifiers, tracking information and approval contacts so we can review account-management readiness. It does not connect advertising accounts or authorise spending. Its drafts and submitted answers follow the same access and retention policy below.

Who can see your brief

You access your drafts through your verified account. Otters' ordinary review inbox only shows submitted briefs. Authorised service administrators may need restricted access for support, security or deletion requests. Files are stored privately; downloaded file links may grant temporary access, so do not forward them.

Vercel hosts the service, Supabase provides account verification, the database and private file storage, and Resend delivers transactional emails. The primary database and files use Supabase's London region. Provider support and subprocessors may process information in other countries under their applicable processing agreements and transfer safeguards. This is not a promise that all processing stays in the UK. Contact us for details.

Creative work

Submitting a brief does not automatically generate advertising. We review the answers, evidence and permissions first. Any later use of your material in agreed creative production, including AI-assisted work, must fit that agreed scope and relevant provider arrangements. We do not sell your brief or publish your files through onboarding.

How long we keep it

We review inactive drafts after 90 days and submitted briefs after 12 months without activity. We remove material that is no longer needed, subject to an active engagement, documented legal requirements or a request to retain it. This is a review policy, not a guarantee of automatic deletion on those dates. You can request earlier deletion by email. Provider backups may retain deleted data for their documented backup lifecycle.

Your choices

You can review your answers, save a draft and download submitted versions with their source files. Contact either cofounder to request access, correction or deletion, or raise a concern. Depending on the circumstances, you may also have rights to object, restrict processing or request portability. We may verify your identity before acting. You can complain to the UK Information Commissioner's Office.

Cookies and local preferences

The private briefing application uses essential secure session cookies, your motion preference and a local reference to your last brief. It does not store your answers in browser local storage or load advertising/analytics trackers. The public marketing website is separate and uses Vercel website analytics and performance measurement.
